Legal Secretary Candidate will provide legal secretarial and administrative support to the partners and associates in the Capital / Corporate Practice Groups. Will have extensive interaction with other lawyers and staff members within the group and within the firm, and be a standout colleague with strong organizational skills to handle work flow for assigned attorneys. Will provide advanced, diversified and confidential administrative support. Will exercise considerable discretion and use independent discernment to take initiative and team with attorneys to manage important administrative tasks necessary so that they can focus on their practice, business development and client work. Prepare, proofread and edit transactional documents, ranging from correspondence to various forms and agreements, etc. Document upload, distribution and management in an online file-share environment. Arrange travel and plan meetings which includes the monthly Firmwide bond meeting, including: scheduling, reserving space, arranging video and teleconferencing support, equipment needs, and food set-up. Maintain accurate and up-to-date Outlook calendars, contacts and schedules and reviews daily; maintain accurate client/matter numbers and marketing mailing lists. Prepare travel expense reports, check requests and other finance forms. Client billing including making narrative edits on reviewed bills and working with billing coordinators. Open new client matters and assist with crafting client engagement letters and initiating conflicts reports. Answer and screens incoming telephone calls per attorney instructions. Perform daily entering of time into timekeeping system as needed. Other legal and administrative responsibilities as assigned. Qualifications: H.S. Diploma or equivalent; some college preferred. 3+ years secretarial experience in a law firm environment; public finance experience useful. Advanced computer skills including.pdf technology, MS PowerPoint, Outlook calendaring and email, Excel, Word and Outlook. Excellent written and verbal communication skills. Strong administrative skills in areas of organization, attention to detail, and travel and meeting coordination. Dedicated and can-do approach to client service and collaboration. Flexibility and ability to prioritize and organize multiple tasks in a dynamic working environment. Basic Internet research skills and interest in learning new research tools and databases as needed. Accurate typing skills of 65+ wpm.
