Legal Secretary The candidate performs a variety of secretarial and/or administrative duties for assigned attorneys. This position interacts with colleagues in a team setting and upholds the image of the Firm by maintaining positive contact with clients, attorneys and staff, and observing confidentiality of client matters. Inputs, revises and finalizes correspondence, memoranda and other legal documents. Drafts routine correspondence, memoranda and other documents. Proofreads documents and checks for appropriate formatting, spelling and grammar. Receives, reviews, prints and delivers electronic communications as necessary. Sorts, dates and reads incoming mail. Prepares documents and packages for mail, messenger and overnight delivery. Prepares expense reports, manages vendor invoices, mailings, and travel arrangements. Completes client/matter forms. Requests conflicts of interest checks. Opens new files. Maintains all client and general files. Conducts periodic review for possible storage of old files and prepares files to be closed. Coordinates and follows through on requests and projects with other support departments (e.g., word processing, receptionists, file/document clerks, office services). Provides overflow assistance and secretarial support for Secretarial Team Members attorneys. Reviews client bills as necessary. Knowledge of office organization, workflow, and procedures at an executive level. Receives and screens visitors and telephone calls; responds to inquiries on a variety of matters. Uses diplomacy and discretion in exchanging information and in referring and directing callers and visitors. Interprets instructions and guidelines in order to make decisions and take necessary actions. Properly maintains and manages highly confidential information. Maintains composure during stressful situations occurring as a result of workloads and/or deadlines. Schedules and arranges meetings and conferences and notifies interested parties; arranges travel including scheduling transportation and making hotel reservations. Maintains attorney calendars. Evidences a high level of organization and time management skills. Composes agendas for client/internal meetings. Organizes and maintains filing systems related to the work. Evidences knowledge of legal terminology and syntax, and of the content, organization, and formatting of legal documents and correspondence. Composes correspondence and reports in Microsoft Word and Excel. Applies instructions and/or guidelines as appropriate in the performance of management support activities. Communicates effectively and follows complex instructions. Transcribes documents from written, oral, or computer generated formats. Interprets instructions and guidelines in order to make decisions and takes necessary actions. Determines work priorities successfully. Performs other duties and projects as assigned. Typing speed/accuracy: 70 wpm with accuracy. Proficiency in Microsoft Programs (Word, Outlook, Excel). Legal citation and legal terminology expertise. Excellent grammatical and spelling skills. Familiarity with Carpe Diem, Elite, Chrome River, DeltaView, document management systems or similar technology.
