Legal Secretary The candidate will prepare correspondence and legal papers such as summonses, complaints, motions, responses, and subpoenas under the supervision of an attorney or a paralegal. Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals. Open, read, route, and distribute incoming mail and other material, and prepare answers to routine letters. Set up and maintain paper and electronic filing systems for records, correspondence, and other material. Conserves attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents; drafting letters and documents; initiating telecommunications; organizing client conferences, and attorney meetings; scheduling couriers, depositions, court reporters, expert witnesses. Arrange travel reservations for attorneys. Assist with securing medical and billing records. Calendaring of statutory and court deadlines. Associates Degree required. 3+ years of related experience in an administration role or law firm required. Litigation and/or legal department experience preferred. MUST be proficient in Microsoft Office (Word, Excel, Outlook). Proficient in meeting deadlines, and a systematic, organized approach to problem solving required. Outstanding time-management and typing skills required. Ability to remain professional and organized in a busy environment required. Ability to work independently & multitask; strong attention to details; fast learner required. Ability to handle confidential documents and information with discretion required. Strong communication skills (both verbal and written) and the ability to effectively prioritize and work on multiple projects simultaneously required. Knowledge of legal and medical terminology, local and state rules regarding pleadings and pre-trial matters, court deadlines, and e-filing requirements a plus.
