Legal Assistant/Paralegal The candidate will assists legal and non-legal staff in performing any needed secretarial functions for the firm. Duties include transcribing, word processing, typing, scanning, copying, making appointments and maintaining attorney calendars and dockets. Prepare legal documents such as pleadings, briefs, opinions, complaints, motions, subpoenas and other correspondence from verbal and written instructions. Assist with firm's records management process by providing records assistants with client/matter, name/number and instructions to help assure that documents are filed and recorded in records management system in accordance with firm guidelines. Participate in litigation process by coordinating and assuring the delivery and service of documents to courts and participants in law suits. Assure that court dates and associated deadlines are properly calendared and followed. Each assistant is assigned as backup to at least one other assistant. When an assistant is absent, the duties and responsibilities of that assistant pass to the backup assistant. Each assistant is expected to perform any other duties that may be requested by the Supervising Secretary or firm administration. Ability to read and write in order to prepare routine office correspondence and forms; perform non-complex arithmetic calculations when verifying calculations on forms and documents and when maintaining records and files. Knowledge of County, State and Federal court filing guidelines and District Court e-filing essential. Knowledge of legal phrases, terminology, content and format of legal documents. Approximately three years on-the-job experience necessary in order to perform complex administrative duties in a professional services setting. Ability to organize and prioritize numerous tasks and complete them under time constraints. Ability to proofread typed material for grammatical, typographical and spelling errors. Ability to type standard memoranda and correspondence from rough draft at a level of 70 words per minute. Interpersonal skills necessary in order to communicate in person, by e-mail and telephone to provide information with ordinary courtesy and tact. Work occasionally requires a high level of mental effort and strain when performing a high volume of clerical tasks and performing other essential duties. Ability to operate standard office equipment, including personal computer, copier, typewriter, facsimile, telephone and microfiche machine.
