Legal Secretary Duties: The candidate will work closely with attorneys on all aspects of providing high level customer service to clients and potential clients. Maintain strict confidentiality of client and firm information. Open new files, check conflicts of interest, and carefully maintain digital client files and limited hardcopy active files. Input, edit, proofread, and e-file pleadings in state and federal courts. Input, edit and proofread correspondence, agreements, contracts, and other documents. Create, edit and proofread Excel spreadsheets and charts. Accurate work product and consistent attention to detail are essential. Digitally file daily scanned mail into client iManage folders. Make appointments and travel arrangements; maintain calendars and closely monitor deadline reminder system. Ensure attorney timesheets are completed on time and assist the billing department in processing monthly client invoices. Work with firmwide Document Processing Department which provides overflow assistance with shell documents, large mailings, transcription, and drafts of pleadings. Demonstrate strong oral and written communications skills while interacting with clients, visitors, attorneys, and staff. Perform as an active team player with other legal secretaries and administrative staff to meet deadlines, tackle large projects and provide coverage for attorneys while others are on Personal Time Off. Maintain a professional appearance and positive, can-do attitude. Qualifications: The candidate should have 2+ years of litigation experience as a legal administrative assistant or paralegal. Experience with commercial transactions including real estate and labor law is a plus. Must possess a minimum typing speed of 65 words per minute, and be proficient in relevant software applications (Word, Outlook, e-filing systems of state and federal court systems). Experience with iManage, Relativity Intapp, and Excel and PowerPoint programs is a plus and training are available. Strong communication, interpersonal, and customer service skills and the ability to interact effectively and professionally with management, staff, and external entities including clients of the firm are required.
