This mid size Orlando office maintains a full service civil law practice. The is organized into the following areas: litigation, health law, communications and media, employment and labor, tax, personal planning and employee benefits, securities and public offering, real estate, and business and corporate office. Receptionist/Legal Secretary The candiate greets all clients and visitors in a polite and friendly demeanor, determines the nature of business, and notifies the appropriate individual of their arrival or directions to a destination. Assures that proper visitor records are maintained. Operates telephone console to receive incoming messages; obtains caller's name and takes a message or transfers caller into voicemail upon request. Validates parking tickets for staff and visitors. Coordinates office usage for visiting attorneys. Coordinates car and dinner reservations, when requested, for visiting attorneys and clients. Performs a variety of clerical duties, as needed, including composing and typing correspondence, stuffing envelopes and placing labels on envelopes, and maintaining files and other records. Assists with Firm special events as needed. Composes and types routine correspondence for review. Answers telephone and gives information to callers and routes call to appropriate individual, takes messages and places outgoing calls. Files documents with courts (e-filing). Assists with opening and closing of client matters. Assists with billing/edits. Assists attorneys with editing and releasing their time into the time entry system. Drafts, revises, edits, and proofreads documents. Assists with hotel and flight travel arrangements. Assists with lunch and dinner reservations with clients. Reserves conference rooms, arrange meetings, and assist in ensuring that required services and provisions are provided at meetings. Enters expenses into Chrome River. Requests checks for various vendors. Assists with keeping records of all required CLE hours. Coordinates routine facility maintenance. Acts as a liaison with building management and other contract services such as cleaning, carpet cleaning, maintenance, dock scheduling, lighting. Manages monthly facility-related vendor invoices. Performs other duties as assigned. The candidate should have a High School diploma or General Education Degree (GED); with 3 years of related experience or the equivalent combination of education and experience. Must have proficiency in Microsoft Office Suite including Word, Outlook, Excel, and PowerPoint. Have the ability to multi-task and be detail-oriented with strong organizational skills. Demonstrates good judgment, tact, and flexibility under pressure in a mixed-matrix environment with many competing priorities. A strong client service approach and team orientation are essential. The ability to work overtime when needed is needed.
