Ensuring the effective and timely delivery of outgoing mail, messenger deliveries, overnight deliveries, and facsimiles. Fielding calls from borrowers, clients, and other outside parties in a courteous and effective manner. Ensuring timely, courteous, and thorough responses to a heavy volume of email correspondence. Developing and maintaining collegial relationships with business associates and clients. Reviewing title reports and recorded documents. Proofreading the legal documents as required. Providing support to attorneys in a high volume, time sensitive atmosphere. Performing other duties and responsibilities as needed. Requirements: 5+ years of legal secretary experience. Good understanding of the legal process surrounding labor & employment preferred. Excellent technical and communication skills. Ability to type 65 wpm. Attention to detail with top notch proofreading skills. Proven success as a positive team player as well as an independent worker. Ability to multi-task and balance multiple projects and priorities simultaneously. Immigration Legal Secretary The Candidate is responsible for following duties: Perform intake of cases by analyzing case documents, inputting case information, and utilizing case management systems database. Collect and maintain up-to-date information within immigration case management systems database. Work with firm docketing department to create formal alerts for deadlines and expirations as directed by attorney/paralegal. Preparation of Petitions - Draft forms for immigration application filings and identify needed supporting documents. External contact with clients, government agencies and third parties. Drafts correspondence, memoranda, forms, presentations and other legal documents to be reviewed by attorney/paralegal. Reads, sorts, and date stamps incoming mail. Ensures that outgoing mail is timely delivered. If necessary, routes mail to specific delivery service and follows up on timely delivery. Establishes and maintains calendar, contact lists, and deadline reminder systems. Maintains attorney and general office files. Work with business intake department to open/close/update matters as appropriate. Maintains good customer service with external and internal clients; observes confidentiality of attorney-client relationship. Schedules appointments and travel arrangements. Assist with attorney and paralegal time entry into the timekeeping system. Works with Billing Department and billing attorney to review and revise billing Proformas. Assist in finalizing bills for client mailing. Attention to check requisitions/payment of vendor invoices. Additional duties as assigned. The Candidate must have 5-7 years of legal secretarial/administrative experience. At least 2 years of immigration experience is preferred. Strong computer skills with experience in Windows 10, Microsoft Suite Office 2010 including advanced knowledge in Word, Excel, PowerPoint, and Outlook and a working knowledge of Nuance is necessary. Qualifications: JD Degree and must hold a current, valid state license to practice law, and practice according to the rules of professional conduct and ethical standards as required by the attorney s licensing state. 1 3 years of relevant legal experience, preferably in the collection industry. Some court room experience preferred. Strong organizational, writing, research and analytical skills. Ability to read, analyze, and interpret the most complex documents. Ability to respond effectively, and discretely, to the most sensitive inquiries or complaints. Ability to work in a team environment cross-functionally with attorneys and support staff. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages. Ability to apply principles of logical or scientific thinking to a wide range of intellectual and practical problems. Knowledge of relevant laws, legal codes, legal/court procedures, precedents, and government regulations, including the Fair Debt Collection Practices Act (F.D.C.P.A.) and other applicable consumer protection statutes and regulations, and processes and documents specific to assigned specialty area; electronic legal research tools such as LexisNexis; ability to interpret and apply legal principles and procedures and develop effective working relationships with clients, co-workers, and court systems.
