Legal Secretary Duties: Answer and screen incoming calls. Provide administrative support to multiple attorneys and enhance office effectiveness. Handle communication with counsel, adjusters, clients, witnesses, experts, vendors, etc. Respond to clients and other attorneys/legal staff in a professional manner at all times. Coordinate and confirm the scheduling of depositions, meetings, phone calls, mediations, etc. and organize any court reporters, notices of deposition, incl. travel arrangements associated. New case setup, which includes the following: (within 1-2 days of assignment). Run conflict checks and open new client engagements as requested. Maintain calendars, CLE, reports, and enter attorney billable timesheets. Book and organize travel arrangements including flights, hotels, transportation, etc. Maintain docketing for litigation attorneys. Maintain Firm Case List. Submit vendor invoices for payment. Calendar and monitor deadlines. Maintain File Info Sheet, expert checklists, List, etc. to keep case files up to date.
Qualifications: High school or equivalent preferred. Proven working experience of 3 years as a legal assistant or legal secretary required. Calendar management experience of 2 years. Familiarity with law, legal procedures and protocols, and court system. Satisfactory knowledge of day-to-day operations of a legal office. Computer literacy and working knowledge of case management software. Ability to juggle multiple activities and work under pressure. Possess resilient work ethic, demonstrating an ability to resolve issues/problems independently, quickly learn and implement new skills, and have strong organizational skills. Analyze resolve schedule conflicts. Critical reasoning and personal judgment required. Strong initiative to ensure results and commitment to the firm's goals. Work independently as well as in a team setting. Manage multiple projects/tasks at a time. Able to work with a sense of urgency.
