Legal Secretary The candidate prepares correspondence, memoranda and other legal documents from written and oral drafts and forms; drafts standard correspondence and other documents. Reads, sorts and dates incoming mail. Follows up on time sensitive and other outgoing mail as appropriate to ensure delivery. Screens telephone calls and provides assistance to callers. Opens new files, requests conflict of interest checks, input client information into firm contact database. Completes calendaring using Prolaw. Maintains corresponding personal calendar and deadline reminder and follow up systems; communicates regularly to all appropriate attorneys and/or paralegals, both verbally and by e-mail, regarding status of said follow ups. Maintains good public relations with clients and other firm contacts. Schedules appointments. Proofreads all work, including work produced by other support staff. Proofreads attorney time sheets. Works closely with other support staff. Provides assistance with work flow of others when necessary and time permits. Performs reception relief on occasion. Must possesses a high level of skill using Microsoft Word for word processing and moderate skill using Excel. Must have experience using document management systems and contact databases. Training will be provided for firm specific programs and systems. In addition: Ability to read and write in order to proof and perform editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and estate planning and corporate documents. Perform arithmetic calculations when verifying calculations on forms and documents; maintain records and filing systems, both paper and electronic is needed. Should have 4+ years of experience as a legal secretary with estate planning and corporate experience in order produce accurate legal documents with minimal supervision. Ability to transcribe legal documents, correspondence and reports from drafts accurately at a minimum level of 70 wpm is needed. Comfortable with standard tasks related to estate planning, probate, and corporate matters is essential. Ability to organize and prioritize numerous tasks and complete them under time constraints is needed. Should possesses interpersonal skills necessary in order to communicate in person, by e-mail and telephone to effectively provide information and follow instructions from a diverse group of clients and other firm contacts, attorneys and staff with courtesy and tact.
