Legal Secretary The candidate will join litigation firm. Will schedule appointments, and maintain and update firm and attorney calendars daily. Manage incoming mail for the firm. Facilitate the meeting of deadlines by keeping multiple agendas and providing timely reminders. Schedule court depositions, hearings, and other meetings. Answer phone calls, take notes/messages and redirect calls when appropriate. Accurately file documents with the court ahead of deadlines. Process third party and vendor invoices. File, organize, scan, copy and fax legal documents in a timely manner. Keep cases organized by establishing and organizing files; monitoring calendars; meeting deadlines, documenting actions; inputting information case management software; confirming case status with attorney. Supports case preparation by preparing case summaries and materials for mediation conferences; monitoring and obtaining discovery responses; organizing materials for team case review. Keeps clients informed by maintaining contact. Supports trial proceedings by organizing evidence; preparing exhibits; scheduling witnesses; ensuring that witnesses are ready when needed. Maintain confidentiality of highly sensitive information. Manage complex office administrative work requiring the use of independent judgment and initiative. Should have 3+ years' experience as a paralegal, legal or executive secretary, Familiarity with legal documents and terminology. Working knowledge of litigation management software systems. Ability to type with a speed of at least 50 wpm with high accuracy. Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and social media web platforms. Able to effectively prioritize and meet deadlines. Able to work as a team with attorneys and other colleagues. Superior written and oral communication skills. Strong organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail. Very strong interpersonal skills and the ability to build relationships with key stakeholders.
