Legal Secretary Duties: Provides administrative support to members of the International Trade practice group, which includes, but is not limited to the responsibilities outlined below. Retrieve documents and information from relevant court and agency websites. Prepare daily service lists for current matters pending before various courts and agencies, including but not limited to the Department of Commerce, International Trade Commission, and Court of International Trade. Daily service lists require searching for International Trade cases on relevant agency websites, locating the appropriate proceeding, and creating a service list that includes all parties and names listed on the relevant agency s service list. Perform daily review of active client matters on Access (Department of Commerce e-filing website) to determine whether any new filings occurred and capture list of any new filings. For each matter researched, circulate the captured list of any new filings to the practice group. Provide assistance with all portions of internal group records maintenance procedures, as needed, including document intake and entry, document uploading, document logging and tracking, indexing, general classification and labeling of documents and associated electronic materials, and hard-copy retrieval and recall. Collaborate with Legal Support staff, legal secretaries, and attorneys as needed regarding daily service lists and information gathered from Access. Proactively identify problems and offer solutions to attorney and practice group workloads, organizational needs and client demands. Assist in sorting and distribution of mail to secretaries and members of the practice group. Copy, fax, file, scan, and save documents in the firm s Document Management system. Input attorney time in the firm s time entry system and proofread and edit entries for accuracy, as requested. Prepare travel expense reports using the firm s Chrome River application. Process client and vendor invoices and monitor status of vendor payments. Maintain client and attorney administrative files and LegalKey working files, including billing files. Assist legal secretaries with processing client bills, as requested. Initiate meeting room requests and coordinate with Conference Services as directed. Prepare labels and envelopes for mailings, as requested. Pick-up and deliver documents within the firm, as requested. Qualifications: High school diploma required. 5+ years of office experience, preferably in a law firm. Prior experience with International Trade matters desired. Strong research skills, including an ability to perform Internet research and search various databases. Proficiency with the Microsoft Office Suite (Word, Excel, PowerPoint and Outlook) and ability to type 45 WPM. Exceptional attention to detail and accuracy. Strong interpersonal and communication skills with an ability to work in a high-volume, high-energy environment. Ability to prioritize assignments and maintain flexibility in an environment with shifting priorities. Ability to work independently and in a team setting. Problem-resolution abilities appropriately combining logic, flexibility, creativity, follow-through and ownership of tasks, and client service skills with an emphasis on discretion and diplomacy. Ability to build and maintain positive and collaborative working relationships.
