Legal Secretary Duties: Supports the corporate legal practice in the preparation of documents, filings and recordation of documents, and related correspondence. Provides the attorneys direct assistance, helping with research for cases, gathering necessary documents and submitting paperwork for filing and recording. Schedules client appointments, and provides secretarial support to the attorneys. Assist attorneys in drafting, proofreading and preparing real estate and corporate legal documents with minimal supervision. File and record documents in appropriate departments. Maintain attorney calendar by planning and scheduling meetings. Maintain hard copy and electronic filing system. Prepare correspondence and mailings. Enter time for billing purposes. Assist and teach new attorneys and team assistants about protocols for filling out and submitting court documents. Requirements: 4+ years on the job experience in order to gain expertise needed to do substantive legal work in the area of real estate and corporate. Knowledge of legal secretarial principles and practices at a level normally acquired through training or its equivalent. Knowledgeable with filings in different departments, such as the Real Estate Commission, Land Court, Bureau of Conveyances, Tax Department, Department of Commerce and Consumer Affairs (DCCA), and the State and Federal agencies. High level of proficiency with Microsoft Office Programs. Strong organizational skills, ability to multi-task effectively, follow specific procedures, prioritize work and responsibilities in a fast paced, changing environment. High level of attention to detail. Ability to proofread typed material for contextual, grammatical, typographical or spelling errors. Good communication skills, both oral and written, to effectively communicate with clients and colleagues in a clear, concise manner. Ability to maintain highest levels of confidentiality. Dependable, organized, strong work ethic, and work well with others. Ability to work extended hours as necessary to fulfill responsibilities. Commitment to professional growth and development.
