Legal Secretary (Litigation) Duties: Provide litigation and administrative support to as many as 3-4 lawyers. Responsible for litigation and administrative tasks including, but not limited to, court filings (state and federal), including e-filings, document creation, editing and preparation, filing, time entry, expense reimbursement processing, telephone calls, travel arrangements, calendar maintenance and mailing distributions. Must be familiar with local court rules. Maintain lawyers contacts lists in Outlook. Client contact in person and over the phone. These duties may be ongoing or ad hoc in nature. Other duties may be assigned to fully meet the requirements of the position. Qualifications: College degree is a plus. 5+ years of recent litigation secretarial experience in a mid- to large-size law firm. Exceptional organizational skills, attention to detail, ability to prioritize, work independently and multi-task. Ability to work in a high-volume environment. Strong interpersonal and communication (oral and written) skills. Advanced knowledge of MS Word and Outlook; must exhibit strong typing skills and ability to learn and quickly become proficient in new computer software programs. Knowledge of Excel and PowerPoint. Ability to prioritize and handle ever-changing priorities. Ability to work with minimal supervision, be a team player and be committed to providing a high level of client service. Legal Secretary Duties: Supports the corporate legal practice in the preparation of documents, filings and recordation of documents, and related correspondence. Provides the attorneys direct assistance, helping with research for cases, gathering necessary documents and submitting paperwork for filing and recording. Schedules client appointments, and provides secretarial support to the attorneys. Assist attorneys in drafting, proofreading and preparing real estate and corporate legal documents with minimal supervision. File and record documents in appropriate departments. Maintain attorney calendar by planning and scheduling meetings. Maintain hard copy and electronic filing system. Prepare correspondence and mailings. Enter time for billing purposes. Assist and teach new attorneys and team assistants about protocols for filling out and submitting court documents. Requirements: 4+ years on the job experience in order to gain expertise needed to do substantive legal work in the area of real estate and corporate. Knowledge of legal secretarial principles and practices at a level normally acquired through training or its equivalent. Knowledgeable with filings in different departments, such as the Real Estate Commission, Land Court, Bureau of Conveyances, Tax Department, Department of Commerce and Consumer Affairs (DCCA), and the State and Federal agencies. High level of proficiency with Microsoft Office Programs. Strong organizational skills, ability to multi-task effectively, follow specific procedures, prioritize work and responsibilities in a fast paced, changing environment. High level of attention to detail. Ability to proofread typed material for contextual, grammatical, typographical or spelling errors. Good communication skills, both oral and written, to effectively communicate with clients and colleagues in a clear, concise manner. Ability to maintain highest levels of confidentiality. Dependable, organized, strong work ethic, and work well with others. Ability to work extended hours as necessary to fulfill responsibilities. Commitment to professional growth and development.
