Legal Assistant/Paralegal - Trial The candidate will prepare, edit, proofread and finalize pleadings and discovery documents for filing and service. Electronic filings with the courts in several jurisdictions. Organize, review and retrieve information from documents obtained in discovery, depositions and hearing transcripts. Schedule and facilitate Zoom and in person meetings, depositions, and client calls which may involve multiple parties, with breakout rooms. Organize and schedule client conferences and attorney meetings. Maintain assigned attorneys calendars. Maintain file organization and document management. Create, edit, revise, format, redline and/or proofread documents from dictation, handwritten, typed and/or electronic copy, text, data and/or graphics. Coordinate with process servers and attorneys services to ensure timely service and/or filing of legal instruments. Prepare, send and track subpoenas. Create pleadings/discovery binders (electronic and/or hard-copy). Docket and track deadlines and send reminders to the legal team. Cite-check and proofread briefs and legal documents. Ensure that documents are properly formatted and in compliance with court rules. Coordinate witness interviews. Coordinate the preparation of charts, graphs, and other courtroom visuals with outside vendors. Schedule couriers, court reporters and expert witnesses. Coordinate travel arrangements for attorneys, witnesses, clients and others. Prepare and submit attorneys expense reports in a timely manner. Enter time for billable/non-billable work for self and attorneys as instructed and per policy into a computerized timekeeping system. Organize, review, and submit invoices for payment. Coordinate preliminary conflict checks. Prepare new client/matter intake forms and engagement letters and audit responses. Assist with special projects and cooperate as a team member with other support staff in performing any duties essential to the achievement of efficient operations. May perform other duties not listed above. The candidate should have a High School diploma or G.E.D. equivalent. Should have 4 years of law firm experience in trial or litigation. Extensive knowledge of litigation and trial procedures, federal and state court procedures and federal and state court rules. Proficiency in Microsoft Office (Word, Excel) and Adobe Acrobat. Excellent verbal and written communication skills and the ability to communicate effectively with all levels of personnel. Excellent organizational skills, attention to detail, self-starter, and self-motivated. Strong and professional work ethic. Ability to set priorities, manage multiple tasks at one time, and perform well in stressful situations. Good judgment in solving problems and resolving conflicts, along with strong customer service focus and skills. Flexibility with schedule (overtime may be required) and excellent attendance.
