Legal Secretary Duties: Performs a broad complement of duties, including secretarial support and general office administration, in support of attorneys with a very busy litigation docket. Depending on the individual office structure, all the responsibilities outlined below may not be assigned to each legal secretary. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Provide daily office support to assigned attorney(s) including opening mail, answering phone(s), docketing all dates in Firm calendars and tape transcription. Assist with preparation and filing of correspondence and pleadings (paper or electronic) for various jurisdictions. Organize and file all file materials, including closing files and submitting closed files to offsite storage facility. Schedule depositions and meetings, order court reporters, and set up conference rooms for meetings, depositions, mediations, etc. Assist attorneys in exhibit preparation for depositions. Arrange for off-site copying/printing. Make travel arrangements for attorneys, clients and others. Time entry for partners. Arrange attorney attendance at CLE seminars; track and submit necessary forms to various state agencies. Office Administration Act as liaison between office location and Chicago IT team as needed, as well as between office location and service providers, including making calls for servicing copiers, fax machines, or postage meter. Maintain office supply inventory including placing orders, getting approval for costly purchases from Local Managing Partner. Facilitate new hire onboarding, including contacting HR, Accounting and IT to ensure preparedness for each person s first day of work. This includes confirming systems access. Maintain office checkbook, backup tapes, office vacation calendar, mail pickup and drop off schedule, and brochures. Approve bills for office supplies, FedEx, etc. as well as oversee file list maintenance. Assist in training and cross-training other staff members. Qualifications: High school or equivalent. 3-5 years experience as a legal secretary in a related field. Computer proficiency, including MS Word, Excel, Outlook, and the Internet. Familiarity of state and federal court systems, including documentation and filing procedures. Previous experience in timekeeping and calendaring processes (Amicus calendar). Ability to read and interpret documents such as operating instructions and procedure manuals. Ability to speak effectively, present information, and respond to questions from clients and employees of the organization.
