Litigation Legal Secretary The candidate will be responsible to prepare all word processing work including, but not limited to, memos, letters, charts, check requests, new matter memos, briefs, pleadings, discovery, agreements, deeds, frequent update mailing and service lists. Such work may be presented in various forms, i.e., handwritten copy, Dictaphone, or an edited typewritten product. Proofread all work, including reading documents for content and context. Handle court filings at all levels including electronic filings. Duplicate documents, books, and other papers as needed. Input appropriate duplicating billing information. Coordinate the submission of large duplicating requests to outside authorized vendors. Prepare and maintain temporary/permanent client and office files. Maintain chronological files of daily correspondence for respective attorneys. Maintain up-to-date, orderly file indexes for legal documents, such as pleading indexes. Answer and screen routine telephone calls per the attorney s instruction. Provide backup telephone coverage. Assist attorney with accurate daily entering of attorney/paralegal time into accounting system utilizing Centralized Word Processing. Prepare client billings and maintain attorney s files containing statements and related billing data. Work with Billing Department to resolve billing problems and efficiently process final billing statements and letters. Maintain accurate and up-to-date databases such as name/address list, client/matter numbers, and marketing mailings. Submits docketing requests with appropriate documents to the firm s docketing clerks. Prepare fax transmittal sheets and fax documents. Schedule meetings and conference rooms. Coordinate meals/refreshments for meetings. Schedule outside vendor services, such as court reporters, expert witnesses, etc. Coordinate attorney s calendar with own and remind attorney of various meetings, appointments, court dates, etc. Greets clients, provide hospitality and other assistance when needed. Research and keep apprised of requirements for different (relevant) courts and agencies. Open mail, sort, date stamp, and organize. Review email when attorney is out of the office. File correspondence and legal documents according to the office filing system; coordinate with records management. Make travel arrangements, including transportation, automobile rentals and hotel reservations. Prepare and submit proper expense reports to the Accounting Department within guidelines of firm travel policies. Perform other duties required based upon the unique practice of the attorney, such as, but not limited to, administrative work, practice development initiatives, and committee projects and responsibilities. In addition, a limited amount of secretarial work for personal matters for the attorney is to be expected. The candidate should have experience with state court filing and interacting with court personnel required. Advanced degree preferred and/or one to two years related experience and/or training; or equivalent combination of education and experience. Should also have a working knowledge of various types of technology such as Microsoft Word, PowerPoint, and Excel. Accounting experience is a plus.
