IP Legal Secretary Responsibilities: Assist IP staff with the maintenance and updating of electronic and physical legal files. Types and drafts standard correspondence, memoranda and other documents as requested. Opens new files, requests conflict of interest checks with appropriate department and maintains all client and general files. Coordinates with support staff to identify inactive or closed files for possible scanning or offsite storage. Manages invoices, expense reports and various other accounts payable items through Chrome River. Assists with billing matters to include entering timekeeper time by required deadlines and assisting with proofing and editing pre-bills to be sent to clients. Provides assistance coordinating meetings, events and travel for staff within department. Handles incoming and outgoing information from variety of sources to include the US Postal System, express delivery services and the USPTO. Assists with docketing and maintaining information on electronic calendaring system. Interacts with clients and visitors; maintains good public relations with clients; observes confidentiality of attorney-client relationship. Works in close cooperation with all administrative departments within the Firm (word processing, receptionists, business office, etc.); proofs documents returned from word processing. Trains on and assists with preparing and filing trademark applications and other documents with the USPTO. Managing additional projects on an as needed basis for the department. Trains on and assists with preparing and filing patent applications and other documents with the USPTO. Requirements: Experience preparing and filing trademark applications and other documents with the USPTO preferred. Experience preparing and filing patent applications and other documents with the USPTO preferred. Basic and general knowledge of the patent and trademark process. General knowledge, or ability to assimilate quickly the Patent Application Information Retrieval (PAIR) and Trademark Electronic Application System (TEAS) through the USPTO. Extensive experience with Microsoft Office Suite to include Word, PowerPoint, Excel and Outlook. Ability to read and write in order to proof and perform minor editing (e.g., punctuation, grammar, spelling) of routine law office correspondence and legal case matters. Perform non-complex arithmetic calculations when verifying calculations on forms and documents; maintain records and filing systems at a level normally acquired through completion of high school or equivalent. Must have ability to read, write and communicate fluent English; ability to compose documents in the appropriate business style using correct grammar and spelling; ability to communicate clearly using proper grammar and diction over the telephone. Must have a high level of professionalism and interpersonal skills so as to be able to work well with employees at all levels within the organization and maintain all information in the strictest of confidence. Required to use tact and diplomacy when dealing with others. Must have attention to detail, ability to balance multiple projects and have strong time management skills. Must have ability to reason and apply common-sense understanding to situations encountered. Ability to process routine daily functions while being able to resolve sensitive issues and complex assignments utilizing above average critical thinking skills.
