Paralegal - Insurance Coverage Practice The candidate provides administrative support to the insurance coverage attorneys in the Environmental, Land Use and Natural Resources (ELUNR) practice group and the Real Estate and Construction group (REC_CD). This position reports to the Practice Support Manager. This position assists attorneys in the delivery of legal services to the firms clients and works under the direction of the firms lawyers and, in some instances, directly with clients. Responsibilities for client work are directed by an attorney. Will do Database Management and Records Analysis. Analyze insurance coverage and claims data; enter, organize and track insurance policies, communications, invoices, payments and claims status in electronic databases, including Excel; create and maintain logs of insurance policies. Manage collection of discovery documents from clients, manage eDiscovery litigation review databases, manage outside reviewers; manage document productions; maintain collection, production and privilege logs. Oversee disposition of documents at the end of the case. Document and Presentation Preparation. Draft correspondence with insurers for attorney review; prepare enclosures or exhibits; draft invoice reports for distribution to insurers; draft insurance coverage charts; and prepare allocation spreadsheets based upon analysis of insurance coverage, financial implications and risk analysis; develop professional quality written materials for coverage presentations to support claims. Drafts interrogatories, requests for production, motions, memorandums, witness and deposition outlines, privilege logs; draft correspondence to clients. Annotates, summarizes or categorizes testimony, documents physical evidence or other information; assists with determining relevance and privilege; critiques experts' reports; and prepares numerical analyses. Assist with pretrial motions; prepares trial notebooks and trial exhibits; schedules witnesses; drafts exhibit and witness lists; and arranges for trial support services.Track and record time for billable tasks; track legal fees, accrued interest and costs billed to and paid by insurers on active claims; research and resolve billing issues; coordinate payment of invoices by insurers. Communicate with clients and insurers via phone and written correspondence. Track billings, invoice submittals to insurers, and payments in spreadsheet software (utilizing advanced features of Excel); including calculating and tracking accrued interest. Track insurance policies and prepare coverage charts in Excel. Prepare allocation spreadsheets to support coverage demands. Other duties as assigned. Keep personally identifiable information, personal health information, and attorney/client privileged information confidential; accurately manage, create and update data in spreadsheets; analyze data and develop graphs, coverage charts, and reports; prioritize daily responsibilities and special projects and readjust as priorities change; take initiative, and follow through; solve problems; work independently and in an interactive team environment; coordinate resources to meet deadlines; perform multiple tasks in a high-pressure, fast-paced environment; maintain a calm, courteous, and professional demeanor at all times; be a constant-learner, flexible, proactive, efficient and resourceful; have prompt, regular, and predictable attendance; have strong organizational, grammar, and proofreading skills; pay attention to detail; have outstanding interpersonal and client service skills; have clear, effective, and professional verbal and written communication skills; and be proficient and fluent in reading, writing, and verbal communication in English. The candidate should have Advanced proficiency in Microsoft Excel, including complex formulas. Intermediate proficiency in other Microsoft Office suite and Adobe Acrobat required. Intermediate knowledge of finance and accounting principles is a plus. Experience with firm software, such as iManage, Carpe Diem, Box required. Experience with eDiscovery litigation review databases and software such as Concordance, Casepoint, Relativity, CaseMap, TextMap, TimeMap and PowerPoint needed. High school diploma or equivalent required. Familiarity with insurance claims management and issues of insurance coverage and claims is preferred. Bachelor's degree considered in lieu of 2 years of experience. Associate degree or certificate considered in lieu of 1 year of work experience. Familiarity with legal terminology preferred. 4 years of experience providing administrative support, preferably with a background in liability insurance claims management in an insurance, accounting, finance or law office preferred.
