Legal Secretary - Calendaring The candidate will be responsible for performing calendaring duties using legal terminology, procedures, and documents. Duties include but are not limited to reviewing documents for important deadlines and events, calendaring those deadlines and events, and preparing legal papers and correspondence, such as drafting Notices and Proposed Orders; may also assist with legal research. S/he will be able to work autonomously and efficiently to ensure the timely completion of work. Calendar deadlines and court appearances, schedule court reporters, and prep final overview for attorney meetings. Retrieve Tentative Rulings and communicate with handling attorney. Review results from court appearances and take necessary action; following up with handling attorney as needed. Reserve hearing dates as requested by attorney. Solid knowledge and understanding of local jurisdictional and federal court rules and procedures. Adhere to county-specific court deadlines/timelines. Respond promptly to written or verbal requests/inquiries from attorneys and staff regarding calendared events, deadlines, pleadings, and court procedures. Communicate effectively in writing and orally with all levels of the firm and courts. Participate in daily huddles with Calendaring Team. Mail, fax, or arrange for delivery of legal correspondence to clients, witnesses, and court officials. Receive and place telephone calls to court officials, clients, co-counsel, and vendors. Organize and maintain documents and case files. E-File a variety of documents with various courts. Make photocopies and scans of correspondence, documents, and other printed matter. Should have Minimum Bachelor's Degree/Paralegal Certificate OR 2-3 years of previous Legal Secretary experience OR Equivalent combination of education and experience. Minimum 2-3 years legal calendaring experience. Must possess excellent communication skills, verbal and written, as well as excellent active listening skills. Strong organizational and time management skills. Proficient in Microsoft Office Suite; ability to quickly learn and become proficient in Firm Client Database. Experience with Abacus Calendaring Software is preferred. Experience with Salesforce is preferred.
