Legal Secretary - Silicon Valley Responsibilities: Responsible for legal secretarial and administrative tasks including, but not limited to, document creation, editing and preparation, filing, time entry, expense reimbursement processing, client bills, telephone calls, travel arrangements, calendar maintenance and mailing distributions. Handle confidential information as necessary. Maintain lawyers contacts lists in Outlook and InterAction. Client contact in person and over the phone. Billing - reviewing pro forma against patent fee schedules, prepare cover letters on client invoices, and follow up with client on payments. Other duties may be assigned to fully meet the requirements of the position. These duties may be ongoing or ad hoc in nature. Under the direction of Patent/IP partner: Review and file documents with the US Patent and Trademark Office. Prepare and transmit Assignments, Declarations, and Power of Attorney documents. Create response shells for amendments to non-final and final office actions, etc. Proofread specifications and process revisions to formal drawings. Report USPTO communications to clients. Maintain back-up patent docket reports, tracking spreadsheets, and patent prosecution file histories to ensure compliance with due dates and non-extendable deadlines. Oversee clients intellectual property portfolios and advise them regarding filing due dates and non-extendable deadlines. Maintain annuity fees of foreign and domestic patents by collaborating with a third-party vendor. Qualifications: College degree is a plus. 5+ years of recent IP legal secretarial experience in a mid- to large-size law firm. Experience with patent litigation and commercial litigation is a plus. Exceptional organizational skills, attention to detail, ability to prioritize, work independently and multi-task. Ability to work in a high-volume environment. Strong interpersonal and communication (oral and written) skills. Advanced knowledge of MS Word and Outlook; must exhibit strong typing skills and ability to learn and quickly become proficient in new computer software programs. Knowledge of Excel, and PowerPoint. Ability to prioritize and handle ever-changing priorities. Ability to work with minimal supervision, be a team player and be committed to providing a high level of client service. Flexibility for overtime and shift changes.
