Legal Secretary Responsibilities: Open files (electronic and physical) for Litigation department. Transcription from Managing Partner of dictation including, but not limited to, letters to courts, clients and opposing counsel, various motions, case information, various instructions, and follow up reminders to be made in digital format. Running bills and making edits to bills (if needed) to be sent to clients for payments on their accounts on a monthly basis. Creation of subfolders (electronic and physical) for organization of files. Assemble documents to be filed with courts (i.e. 9A packets). Communication with clients and opposing counsel to provide and/or obtain documents. Updating pleadings binders to ensure all court pleadings are organized and accurate. Assisting all Partners and Associate attorneys in the Litigation Department with any day-to-day tasks. Closing files and filing. Sending reminders of follow up takes to be done to Managing Partner daily to ensure no deadlines are missed. Qualifications: 5 years of full-time experience working in a secretarial or legal assistant position within a law firm (preferably in litigation). Experience in managing multiple priorities, administrative coordination, and logistics. Well-organized, detail-oriented, ability to multi-task with great follow-up skills. Strong written and verbal communication skills. Proficient usage of Microsoft Word, Outlook, and Excel. Able to manage numerous cases simultaneously under deadline pressure. Ability to identify urgent tasks and prioritize time accordingly. Able to multi-task and adapt to changing situations, priorities, and deadlines. Experience with Adobe Acrobat Pro a plus. Experience with current data management systems a plus.
