Legal Secretary Duties: Provide support to partners, associates, and other legal and business services employees. Maintain calendars in Outlook, schedule and coordinate internal and external meetings and conference calls; manage contacts lists, in Outlook and/or InterAction. Answer phone calls, take accurate messages, forward messages appropriately and keep track of calls to ensure timely and appropriate response. Create, draft, edit, format and proofread letters, memos, and other documents using various software including Microsoft Word, PowerPoint and Excel, DM and Change Pro. Coordinate domestic and international travel; prepare visa applications when necessary. Enter diaries into inTapp. Prepare and submit weekly expense reports using Chrome River. Request conflict checks, open new client matters and submit electronic approvals. Handle all aspects of bill preparation as required, including: initiate pro formas; review, categorize and transfer time entries; finalize bills for partner review; mail or submit electronically; track outstanding client bills and follow up with partners, clients or revenue group to resolve. Create and maintain files; handle other administrative duties, such as scanning and printing; mange shared file folders. Assist attorneys and other legal staff with the organization of filings. Assist with the coordination of depositions, trials, arbitrations and meetings and with the production of witness kits, trial binders and chronologies. Assist attorneys with basic factual research using search tools such as Westlaw, Lexis, Pacer, etc. Cite-check, bluebook briefs and memoranda of law; prepare tables of contents, tables of authorities; assemble accompanying exhibits; compile case books. Handle routine inquiries not requiring attorney s attention. Qualifications: College degree preferred. 3+ years of experience working in a high-pressure, fast-paced environment. Experience in a professional services or law firm preferred. Demonstrated proficiency in Microsoft Word, Excel, PowerPoint and Outlook. Ability to learn and use a variety of new software applications and tools. Ability to work both independently and as a member of a team. Strong active listening skills; ability to consistently and accurately follow instructions. Ability to effectively prioritize competing deadlines and manage expectations of clients. Ability to communicate clearly and concisely verbally and in writing.. Strong research skills. Strong attention to detail. Ability to consistently produce high-quality work product under pressure and tight deadlines.
