Office Manager/Paralegal Duties: Greet guests, answer the main phone line, manage office supplies and mail services, maintain calendars and schedule appointments. File documents in state and federal courts, prepare and deliver subpoenas, schedule and coordinate court reporters; Cite check, proofread, and assist in the preparation of court filings, exhibits and appendices. Create and organize paper and electronic case files. Serve as liaison to the office of the building for security, safety, maintenance and suite management and to IT vendor for management of IT services at the firm. Record payments and invoices in QuickBooks, reconcile accounts monthly, prepare reports for partners and accountants, and download and post all banking and credit card activity to the proper accounts in QBO. Prepare monthly client invoices through Bill4Time, responsible for paying expenses on time, submitting invoices through client portals when applicable, and Onboarding new employees. Qualifications: Bachelor's degree from an accredited college or university preferred. Should preferably have 2 years of administrative experience; prior work experience in a law firm. Familiarity with the phone, computer, and printer setup and maintenance preferred. Familiarity with QuickBooks Online, Zoom and Bill4Time preferred. Effective written and oral communication skills. Proficiency in Microsoft Office Suite programs. Strong interpersonal skills. The ability to learn quickly and remain calm under pressure.
