Legal Assistant/Legal Secretary Responsibilities: Format, proof, and finalize pleadings, other legal documents, and correspondence. Prepare correspondence and simple pleadings such as notices of appearance and administrative forms such as unfair labor practice charges and requests for arbitration. Maintain electronic and paper case files. Process mail scan folders. Prepare working binders for hearings, mediations, arbitrations, meetings, and trials. Communicating with clients, courts, arbitrators, mediators, administrative agencies, opposing counsel, legal couriers, experts, and other third parties and legal industry professionals. Create and maintain templates and service lists for cases. Perform or assist with photocopying and scanning projects. Update client lists. Arrange transfer of client files to clients, paralegals, attorneys, etc.. Arrange delivery, service, and retrieval of documents to and from the court, mediators, arbitrators, experts, clients, opposing counsel, and other relevant parties. Qualifications: 3+ years office, administrative, or secretarial experience, or a paralegal degree/certificate and 1 year of office, administrative, or secretarial experience required. Law firm experience preferred. Knowledge of or willingness to learn Federal, State, Appellate, and local court rules and procedures. Knowledge of or willingness to learn the various state, federal, appellate, and administrative agencies filing procedures and systems. Ability to work independently, organize, and prioritize workload, and adapt to changing deadlines and priorities. Ability to follow written and verbal instructions. Ability to follow written and verbal instructions. Ability to perform under tight deadlines and maintain patience and efficiency in high-pressure situations. Working knowledge and functions of Microsoft Office (including Word, Outlook, and Excel), eCopy, and Adobe. Ability to work collaboratively in a team environment. Excellent interpersonal, organizational, planning, verbal, and written communication skills. Must manage highly confidential information with professionalism and unquestionable integrity.
