Legal Secretary Duties: Responsible for providing high level administrative and secretarial support to attorneys in the Litigation and Private Client Services Department. Receiving inbound calls, determining the priority of issues, and providing detailed messages in a timely and appropriate manner. Receiving visitors. Communicating with clients and building client relationships. Managing and maintaining attorney s schedule and calendar (including coordination of complex meetings). Reading and suggesting plan of action on inbound correspondence. Maintaining records and files. Calendar management including internal and external meetings and conference calls. Making travel arrangements, including planning itineraries, and planning, producing, and maintaining journey records and vouchers. Providing word-processing and secretarial support (including original input, revisions, proofreading and making corrections in documents for grammar, spelling, punctuation, format, and content). Preparing expense reports, new client/matter forms, and time sheets. Handling partner monthly billing. Coordinating and directing office services, such as records and finance. Completing special projects as needed. Other duties as assigned. Qualifications: Candidate should have 3-5 years of experience (experience in a law firm and a corporate practice a plus) and demonstrate strength in the following: Strong technical, organizational, administrative and communication skills. Proficiency in Microsoft Office 2010 (Outlook, Word, Excel and PowerPoint). Familiarity with FileSite and Workshare a plus. Comfort with technology and ability to learn software/programs. Self-starter, extremely organized and detailed-oriented with a strong commitment to accuracy. Excellent communication, both written and oral as well as interpersonal skills. Ability to multi-task and manage priorities effectively. Absolute discretion when dealing with confidential matters. Exceptional follow-up and follow-through skills. Available to work overtime as needed. High degree of personal integrity, discretion and confidentiality.
