Legal Secretary (2583) Duties: Provide high-level executive support to attorneys in the Intellectual Property (IP) practice. Monitoring client-specific dockets, maintaining soft docket for United States Patent and Trademark Office (USPTO) actions, review and accurately proofread documents from the USPTO; and report these documents directly to clients. Will be responsible for preparing and filing new utility, continuation, divisional, and U.S. National Phase applications; including any additional essential documents with the USPTO; preparing, forwarding to clients, and obtaining executed formal documents required to complete U.S. application process, including Powers of Attorney, Oath and Declarations, Assignments, and Formal Figures. Using USPTO and internet websites, the legal secretary will research and compile data on U.S. patent applications and patents for firm attorneys, client inquiries, and other IP team members. Will organize client meetings and Business Development seminars, enter attorney time, travel planning and expense reimbursements, maintain attorney calendars as well as maintaining paper and electronic patent files, filing emails to document management system (NetDocs), open new business matters, run conflict checks, prepare engagement letters; and coordinate intake and transfer of files with appropriate firm staff. The candidate should have a thorough knowledge of patent prosecution from application filing to issuance of patents; experience with generating formal USPTO documents, preparing shell responses, and e-filing applications and preparing reporting letters. A patent secretary must have the ability to manage highly sensitive information, 5+ years working in patent prosecution and a Bachelor's Degree is preferred. Must have high proficiency with Microsoft Office, including Outlook, Word and Excel, and Adobe Acrobat. Must have experience with patent docketing and document management databases as well as patent specific websites. Requires sustained attention to detail in all aspects of work, professional demeanor and effective interpersonal and communication skills. Should be able to communicate across all department levels including attorneys, patent agents, paralegals, Docketing, Accounting, New Business, and Records staff. Ability to work independently and to use time and resources effectively to meet all deadlines and have flexibility to work overtime.
