Salary: The salary for this position is commensurate with experience. Law Firm is looking for an experienced Paralegal and Office Administrator to join their team in Austin, Texas. This role is responsible for providing legal and administrative support to attorneys, as well as creating a pleasant work environment and ensuring high levels of organizational effectiveness, communication and safety. The ideal candidate should have experience with a variety of office software, be able to accurately handle administrative duties, and possess strong organizational and multitasking skills. Job Description: Law Firm is looking for an experienced Paralegal and Office Administrator to join their team in Austin, Texas. This role is responsible for providing legal and administrative support to attorneys, as well as creating a pleasant work environment and ensuring high levels of organizational effectiveness, communication and safety. The ideal candidate should have experience with a variety of office software, be able to accurately handle administrative duties, and possess strong organizational and multitasking skills. Responsibilities: Paralegal: * Draft correspondence and communicate with clients, legal counsel, and professionals * File and manage records, including organizing client files, trial binders, briefs, pleadings, and other legal documents * Schedule court reporting and videographer services * File legal documents (e-filing skills are preferred) * Conduct pre-claim investigation, legal research and initial case assessments * Draft pleadings, motions and appellate documents and file them with the court * Prepare privilege logs * Perform administrative duties, such as calendaring hearings and deadlines, organizing case files, and managing logistics * Maintain pleadings and discovery indexes * Organize exhibits, documents, evidence, briefs, and appendices * Aid attorneys with interrogatories and other discovery requests * Gather relevant information from a variety of sources * Liaise between trial teams and internal/external third parties * Provide assistance with case settlements * Prepare exhibits to motions Office Administrator: * Serve as the point person for office manager duties, including maintenance, mailing, supplies, equipment, bills, errands, and shopping * Schedule meetings and appointments * Organize the office layout and order stationery and equipment * Maintain the office condition and arrange necessary repairs * Partner with HR to update and maintain office policies as necessary * Organize office operations and procedures * Coordinate with IT department on all office equipment * Ensure that all items are invoiced and paid on time * Manage contract and price negotiations with office vendors, service providers, and office lease * Prepare/distribute billing for assigned billing attorneys * Manage office general and administrative budget, ensuring accurate and timely reporting * Provide general support to visitors * Assist in the onboarding process for new hires * Address employee queries regarding office management issues * Liaise with facility management vendors, including cleaning, catering, and security services * Plan in-house or off-site activities, such as parties, celebrations, and conferences * Perform tasks assigned with accuracy and promptness, including e-filing, e-service, and document production downloading * Review daily voice mails to ensure timely responses to all inquiries * Answer and direct incoming calls and make outgoing calls as needed * Manage daily incoming and outgoing mail * Process payment and bank deposit records * Copy, scan, and fax documents * Manage data entry and prepare spreadsheets * Keep office organized, restocked, and maintained * Order office supplies as needed Necessary Knowledge, Skills and Abilities: * Proficiency in Microsoft Office Suite * Hands-on experience with office equipment (e.g. fax machines and printers) * Professional attitude and appearance * Solid written and verbal communication skills * Ability to be resourceful and proactive when issues arise * Excellent organizational skills * Multitasking and time-management skills, with the ability to prioritize tasks * Customer service attitude * Experience in the legal industry as paralegal or marketing preferred, but not required * Proficient at learning new technology * Motivated problem-solver * Experience in administrative skills or office manager role preferred but not required * Professional demeanor, reliable, punctual, team-oriented * Self-starter, excellent attention to detail, highly organized, accurate, able to multi-task * Strong verbal and written communication skills * Proficient in Outlook, MS Word, MS Excel, MS PowerPoint, Adobe Acrobat * Consistent availability during normal business hours * College degree preferred but equivalent experience is acceptable Educational and Experience Requirements: * Proven work experience as an Office Representative or similar role * High school degree; additional certification in Office Management is a plus * Paralegal associates degree or other relevant certification preferred * Prior litigation experience required * Experience with personal injury settlement procedures and Medicare reporting requirements * Thompson's Serengeti Tracker software experience Work Environment and Physical Demands: * In office position * Ability to work extended hours when necessary * Normal office environment; no unusual physical demands Salary: Paralegal associates degree or other relevant certification
