Legal Secretary/Receptionist Responsibilities: Draft, transcribe, proofread, edit and file court documents and related correspondence, memorandum, pleadings and related documents. E-file documents with local, state, federal and appellate courts and assist with paper filing in office. Pull e-served documents and disperse to proper attorneys and/or paralegals, place into case HPTY file (electronic). Handle the incoming and outgoing mail for the office. Scan/OCR large documents; file accordingly. Maintain team and court calendars and keep attorneys aware of scheduled events and approaching deadlines. Schedule meetings, conference calls, assist with travel arrangements when necessary and reserve conference rooms. Communicate by phone and email with clients, maintaining professionalism and a high level of customer service at all times. Enter time and handle billing for assigned timekeepers. Provide occasional court runner duties. Greet guests and clients in a friendly and welcoming manner. Set up conference rooms for meeting, including supplies, coffee service, ordering additional food/beverage as appropriate. Maintain client confidentiality. Coordinate travel arrangements and process expense reports. Answer and handle incoming phone calls in a professional manner. Order office and break room supplies.
Qualifications: High School diploma required, Bachelor's degree preferred. 3-5 years of legal litigation secretarial experience is required, high volume litigation experience is a plus. Ability to work independently. Critical reasoning and personal judgment required. Excellent written and verbal communication skills. Proficiency in Microsoft Office suite. Highly organized and efficient. Must be detail oriented, proficient with electronic filing systems in state and federal courts and fully familiar with Word, Excel, Outlook and PowerPoint.
