Legal Secretary - Transactional Responsibilities: Manage and coordinate calendars and travel schedules. Must be proficient in utilizing online resources and search engines. Communicate clearly both in writing and verbally. Maintain a regular presence and regular working business hours at the office. Work with computer programs including but not limited to Excel, Word, Outlook, Lexis/Nexis and PracticeMaster. Various administrative tasks. Some transcription of dictation. Qualifications: Paralegal Certificate preferred. 2-3 years experience required. Type of 70 WPM. Corporate transactional legal experience helpful. Experience representing Homeowners Associations and Common Interest Developments extremely helpful. Must have advanced technology aptitude and literacy, including but not limited to Microsoft Office Suite, Adobe Pro, Interwoven (FileSite/WorkSite), and time tracking software. Ability to adapt to changing priorities and remain flexible under pressure to meet client and attorney needs with a positive attitude and composure. Manage a busy calendar and comply with strict deadlines. Strong initiative and problem solving skills. Impeccable attention to detail. Strong written and verbal communication skills a must. Strong organizational skills. Ability to interface with all levels of management and staff. Able to take initiative and anticipate what tasks need to be completed. Ability to understand and execute specific, detailed instructions. Willingness to work a flexible schedule, including occasional overtime is required. Must be able to organize and prioritize numerous tasks; follow directions and instructions; work independently or in a team, as needed; pay close attention to detail and provide work that is consistently error free. Under general direction of assigned attorneys, paralegals and the Executive Director should have the ability to proficiently and effectively assist the team with various administrative and organizational tasks with a can-do attitude. Must have excellent project management skills and be able to manage multiple projects simultaneously while meeting or exceeding internal satisfaction goals. Must be a self-starter with proven efficacy as a problem solver. Excellent interpersonal skills and the highest degree of professionalism is a must. Outstanding software literacy skills is critical. Must have excellent oral and written communication skills. Must have superior internal and external client service skills.
