This mid size Orlando office maintains a full service civil law practice. The is organized into the following areas: litigation, health law, communications and media, employment and labor, tax, personal planning and employee benefits, securities and public offering, real estate, and business and corporate office. Receptionist/Legal Secretary Responsibilities: Greets all clients and visitors in a polite and friendly demeanor, determines nature of business and notifies appropriate individual of their arrival or directs to destination. Assures that proper visitor records are maintained. Operates telephone console to receive incoming messages; obtains caller's name and takes message or transfers caller into voicemail upon request. Validates parking tickets for staff and visitors. Coordinates office usage for visiting attorneys. Coordinate car and dinner reservations, when requested, for visiting attorneys and clients. Performs variety of clerical duties, as needed, including composing and typing correspondence, stuffing envelopes and placing labels on envelopes, and maintaining files and other records. Assists with Firm special events as needed. Composes and types routine correspondence for review. Answer telephone and gives information to callers and routes call to appropriate individual, takes messages and places outgoing calls. File documents with courts (e-filing). Assist with opening and closing of client matters. Assist with billing/edits. Assist attorneys with editing and releasing their time into time entry system. Draft, revise, edit and proofread documents. Assist with hotel and flight travel arrangement. Assist with lunch and dinner reservations with clients. Reserve conference rooms, arrange meetings and assist in ensuring that required services and provisions are provided at meetings. Enter expenses into Chrome River. Request checks for various vendors. Assist with keeping records of all required CLE hours. Coordinate routine facility maintenance. Act as a liaison with building management and other contract services such as cleaning, carpet cleaning, maintenance, dock scheduling, lighting. Manage monthly facility related vendor invoices. Perform other duties as assigned. Qualifications: High School diploma or General Education Degree (GED); with 3 years of related experience or the equivalent combination of education and experience. Proficiency in Microsoft Office Suite including Word, Outlook, Excel, and PowerPoint. Ability to multi-task and be detail-oriented with strong organizational skills. Demonstrates good judgment, tact, and flexibility under pressure in a mixed-matrix environment with many competing priorities. A strong client service approach and team orientation. Ability to work overtime when needed.
