Legal Secretary The candidate will assist attorneys in drafting, proofreading and preparing legal documents such as complaints, answers, motions, notices, affidavits, appeals, subpoenas, and summons. Word processing of pleadings to include revising drafts of documents and tracking redlined changes to motions, affidavits, complaints, and other legal memoranda, court filings (regular and electronic), drafting correspondence to clients, potential new clients, and third-parties. Maintain attorney calendar by planning and scheduling conferences, meetings and depositions and arrange for conference rooms; calendaring deadlines, recording and monitoring court appearance dates, pleadings, and filing requirements. Answer incoming phone calls, communicating with clients via phone and/or email, scanning correspondence and documents, maintaining client files, and responding to email in a timely manner. Perform and maintain any and all tasks in the Discovery process. Prepare and support the legal team prior to and during trial. Maintain hard copy and electronic filing system. Organize and index exhibits, prepare binders and manage document sensitive files. Prepare correspondence and mailings. Enter time for billing purposes. Other duties as assigned. Must have High school degree or equivalent experience. Should have strong organizational and communication skills. Must have knowledge of court rules and procedures related to filings, electronic filings, fees, calendaring deadlines and service requirements. Familiar with the Circuit Court, Honolulu District Court,U.S. District Court for the District of Hawaii, Hawaii Supreme Court, Bureau of Conveyances, Land Court, and the Department of Commerce and Consumer Affairs. Proficiency with Microsoft Office suite (Outlook,Excel, Word, PowerPoint, etc.) required. Should have 5 years experience.
