Legal Secretary The candidate will support multiple lawyers whose practices are largely transactional in nature and be expected to work with other staff members in a variety of office settings. Type documents, pleadings, correspondence, memoranda. Transcribe dictation. Prepare Expense Memoranda. Answer telephones and cover for others during work day. Use Word, Outlook and other Microsoft Office products at an advanced level. Section and page breaks. Cross referencing. Page numbering. Styles and schemes. Handle or assist with client matters (when appropriate). Telephone and e-mail. Prepare for meetings . Use Direct Time Entry (software package used for recording time). Maintain work calendars. Scheduling appointments, conference calls and other meetings. Track current / upcoming projects and deadlines. Using Outlook and Docketing systems. Prepare travel, hotel and car arrangements by using the internet. General office duties, such as preparing copies, printing e-mails, and documents. Organize and maintain extensive sets of files, both paper and electronic. Use FileTrail (software package) to organize/maintain sets of files. Help organize and maintain work room and supplies. Qualifications: High School (or equivalent) required; college given preference. 3+ years' experience in secretarial field; preference given to legal experience. Experience in a law firm given high preference. Must have the ability to work well under the pressures of deadlines, prioritize and multi-task, and have the ability to move from one project to another. In addition to excellent verbal and written communication skills with an aptitude to interface with lawyers, clients and staff. Must be comfortable and efficient in a fast-paced work environment. Able to keep multiple projects progressing. Able to recognize changing needs and prioritize work to accommodate. Able to maintain high work quality, even during tight deadlines . Must be flexible with hours when work demands. Professional communication skills are required. Will be expected to communicate comfortably and in a professional manner. Client representatives, firm lawyers, and other staff . Other duties as assigned. Experience with Outlook, Power Point and Excel. Excellent grammar and spelling skills, including high attention to detail toward document formatting. Strong organizational skills.
