Paralegal Coordinator Duties: Assists legal services managers in the firm-wide recruitment of career paralegals and program paralegals, including interviewing, onboarding, mentoring, and training of new hires. Coordinates the day-to-day activities of the litigation and corporate paralegal groups including workflow and staffing and leads department initiatives. Reviews diaries and monitors billable and non-billable hours. Coordinates out of office time for paralegals and coverage in absence. Assists Legal Services Managers with the internal performance evaluation process including, collection of feedback for all paralegals and case assistants. Manages to staff for client matters and projects. Coordinates staff caseloads and group workflow to ensure paralegal growth, matter efficiency, and leverage. Regularly partners with managers and team leads in an effort to match paralegal goals with available opportunities. Evaluates the quality of the work product. Assists in the compilation and analysis of staffing-related data and metrics. Assists with the marketing of paralegal utilization. Identifies additional areas requiring paralegal support and identifying growth opportunities for the group. Serves as a career counselor for the growth and development of the paralegals and program paralegals. Seeks out and advocates for growth opportunities for the group. Actively coaches and partners with paralegals and program paralegals on ongoing workloads identifying opportunities for expanded matter support, improved efficiencies, and attainment of professional goals. Ability to remain neutral when conflicts arise. Strives to identify, evaluate and resolve issues while alleviating tension within the staff. Acts as a mentor to paralegals to work more effectively and efficiently by optimizing the use of technology and resources. Provides input on best practices and assists with implementation and maintenance of agreed-upon best practice procedures and processes. Performs all the skills and competencies outlined in the senior corporate and/or litigation paralegal job description. Develops, maintains, and presents paralegal-specific training programs. Identifies areas of training for paralegals and program paralegals. Provides real-time training as needed. Assists the Legal Services Managers with recruiting, interviewing, and hiring paralegals and case assistants. Coordinates the onboarding and orientation of new hires. Assists with department projects as needed and performs other work-related duties as assigned by the Legal Services Managers. Complies with department and firm administrative procedures and policies. Responsible for billing a pre-determined number of hours of client-related projects and other credited work. Qualifications: A Bachelor's Degree. 8+ years of paralegal experience. Prior coordination experience is preferred. Substantial and comprehensive knowledge and understanding of the litigation process and/or complex corporate matters. Ability to perform research and analysis to any degree of complexity. Superior document organizational skills. Excellent leadership and mentoring abilities to guide subordinates in reaching goals. Proven interpersonal, verbal, and written communication skills. Ability to maintain strict confidentiality of the firm's internal and personnel affairs. Ability to interact and collaborate effectively with all levels of personnel, including management staff and support staff. Strong oral and written communication skills. Ability to successfully manage and lead a team. Ability to be a proactive self-starter, who understands the details within a much larger context. Flexible and able to respond quickly and positively to shifting demands and opportunities. Ability to work under tight deadlines and handle multiple, detailed tasks. Ability to anticipate problems and issues and exercise independent judgment to make sound, justifiable decisions and take action in solving problems while knowing when and to whom to escalate issues. Team-oriented and able to share information, goals, opportunities, successes, and failures with the appropriate parties. Ability to influence at all levels of the organization. Excellent attention to detail. Ability to maintain a professional demeanor in all situations. Ability to effectively work in a multi-office environment and a culturally and educationally diverse environment.
