Receptionist / Legal Secretary Duties: Reception/Administrative: Answer incoming calls and provide callers with necessary information or direct them to the appropriate party. Greet clients when they arrive and provide excellent customer service. Maintain Conference Room Scheduler; review on a daily basis to determine set ups or A/V needs; prepare in advance for any technical support; set-up conference calls and video conferences for all meetings. Work with the Minneapolis office s IT Department on replacing equipment such as monitors or laptops, and provide other support as needed. Coordinate service calls for equipment and follow up to ensure service has been provided for copiers, postage machine, printers, and other equipment as requested. Sort mail and prepare for delivery; send and receive faxes; scan documents as requested. Receive all incoming packages and keep daily log; notify recipients immediately of arrival or put supply deliveries in appropriate places. Legal Secretary: File information (both electronic and physical materials) promptly and accurately in case management system; retrieve promptly. Create and revise electronic documents; proofread material to ensure high quality product. Assume responsibility for billing process as directed. Make travel arrangements and create itineraries as requested. Conduct electronic filing in state and federal courts. Assist with special projects and cooperate with other support staff in performing any duty essential to the achievement of efficient operations. Provide backup coverage to other secretaries as needed. May be requested to perform other duties not mentioned above. Qualifications: High school diploma or GED equivalent. Preferred: 2 years of legal secretary experience. Strong customer service skills. Some office administrative or receptionist experience. Accurate typing skills of 50 wpm. Experience with Microsoft Word, Excel, Adobe, timekeeping and document management software. Excellent communication skills, both oral and written; ability to communicate effectively with all levels of personnel. Ability to manage multiple tasks at one time and perform well in stressful situations. Ability to use good judgment in solving problems and resolving conflict. Excellent attendance.
