Legal Secretary/Legal Assistant Insurance Coverage Practice Group (Washington D.C.) is currently accepting resumes for an experienced Litigation Legal Secretary/Legal Assistant to join our mid-size law firm in Washington, DC. The position provides a broad range of complex administrative support for multiple attorneys. The successful candidate must demonstrate the ability to manage multiple tasks accurately and quickly, excellent time management, strong organization skills, and the ability to work proactively with team members to produce high-quality work product. Candidate must also possess strong interpersonal skills and be highly detail oriented. Qualified applicants submitting a resume and cover letter will be considered. After training and orientation, you will have the option to work remotely most days. Key Roles & Responsibilities: Prepares, edits, and proofreads a variety of documents to include correspondence, agreements, pleadings, spreadsheets, and presentations; assists with complex document production. Organizes, scans, files and coordinates large amounts of proprietary data in electronic format. Files documents electronically in accordance with policies and procedures set forth by various state and federal court e-filing systems. Maintains calendars to include coordination and scheduling of meetings, depositions, court reporters, and conference calls; reserves on-site conference rooms and off-site venues; arranges for food, refreshments, technical equipment, and meeting materials as required. Prepares and submits new client forms, new matter forms, and new case committee memorandum forms; prepares and submits conflict check forms via online portal; drafts acknowledgement letters; maintains ongoing communication with all parties involved through confirmation and completion of tasks. Provides high-quality, direct client interaction when attorneys are not available; responds to client inquiries in a professional and timely manner. Consolidates and organizes files at the close of a matter and scans documents to comply with Firm's paperless requirements. Coordinates complex domestic travel arrangements; processes expense reports for assigned attorneys and ensures timely reimbursements. Inputs billable time entries into firm timekeeping software for multiple attorneys; reviews and edits pre-bills for submission to Accounting. Maintains and updates multiple contact lists using Outlook. Researches and retrieves information from various online resources and databases. Assists attorneys with various administrative tasks and projects. Maintains confidential information in a professional and trustworthy manner. Performs other duties and tasks as business needs dictate. This position requires: High school diploma required; undergraduate degree preferred; Typing speed 50 wpm minimum; Intermediate to advanced technical skills using Microsoft Office 365; Expertise in calendaring, managing multiple schedules and maintaining contacts; Sharp attention-to-detail and proofreading skills; Expertise in eFiling (PACER/CaseFileXpress) and paper filing of litigation pleadings; Expertise in creating pleadings binders; Excellent written communication skills and proper use of grammar; Commitment to presenting excellent and accurate work product; Commitment to appropriate planning and time management; ability to prioritize work effectively to meet multiple requirements and deadlines; Ability to accept feedback and adjust appropriately; Ability to communicate effectively with attorneys, staff and administration.
