Legal Secretary Duties: Types, edits, files and may compose correspondence, including letters, memoranda, pleadings, and other documents. Transcribes from tapes and/or handwritten documents. E-files documents with state and federal courts. Updates and maintains databases (i.e. e-mail lists, I-Create info, client matter lists). Records court dates, deposition dates, etc. on daily calendar. Screens telephone calls and/or takes messages when needed. Opens, reads, and sorts all incoming mail. Opens new files, checks conflicts of interest, maintains all client and general files. Greets clients and visitors; maintains professional appearance and attitude; maintains good public relations and customer service with clients; maintains confidentiality of attorney-client relationship. Makes appointments and travel arrangements; processes expense reimbursements; and maintains calendar and deadline reminder system. Communicates with administrative support by apprising of deadlines, attorney travel plans, etc. Ensures attorney timesheets are completed. Candidate will have 5+ years of experience as a legal secretary in litigation with experience in insurance preferred; working knowledge and experience in e-filing in both state and federal court systems; strong communications, interpersonal and customer service skills and ability to interact effectively and professionally with management, staff and external entities including clients of the firm. This individual must have a minimum typing speed of 65 words per minute, be proficient in and have knowledge of relevant software applications (Excel, Word, Powerpoint, and Outlook); must be able to maintain a high degree of confidentiality; and consistently produce high-quality work product.
