Legal Secretary / Office Manager The candidate will work with the Managing Partner to oversee administrative projects, monitor intake procedures, and handle other office responsibilities. Assist in opening new matters. Monitor projects and keep track of deadlines. Assist in administrative duties as needed. Assist with new employee onboarding and financial systems training. Monitor office supplies and reorder as necessary. Assist executives with various tasks including monitoring and responding to emails, scheduling, maintaining current contact information, storing files, and other office tasks. Other responsibilities as required. Generating billing statements for the firm. Responding to client inquiries regarding bills. Processing client payments. Accounts payable and expense reimbursements. Calculating distributions. Bank and credit card account reconciliations. Providing reports to employees and clients as needed. Help with quality assurance on data projects. Assist with financial and financially related operating procedures for the New Orleans office and assist with functions for integrating additional offices at other locations into overall financial and accounting procedures for the Firm. Must have an accounting degree. Should have Mastery of MS Excel or Google Sheets. Must have proficiency and competence to prioritize competing demands. Must have strong written and oral communications skills. Should have 3 years experience in a bookkeeping role. Working knowledge of Xero or Quickbooks and Clio a plus. Bookkeeping and financial experience is a plus.
