Pro bono work by all attorneys is encouraged, and billable hours credit is given. Associates receive excellent training and feedback, as well as early responsibility and meaningful work.
Legal Secretary The candidate will leverage technology resources to ensure the group of attorneys is operating as efficiently and effectively as possible. Will identify most efficient and effective manner to complete tasks. Prepare documents by transcribing, formatting, inputting, editing, retrieving, copying, printing and transmitting text, data and graphics using office software applications. Knowledge and appreciation of the legal processes that facilitate the accurate preparation of client documents and responding to filing or closing deadlines. Prepare and coordinate e-filings, as well as filings in state courts if needed. Handle incoming and outgoing mail, faxes and scan documents. Ensure that documents are saved and filed into the appropriate workspaces/folders in FileSite. Maintain the daily calendar of each attorney including, but not limited to, scheduling appointments, meetings and travel arrangements. Maintain Outlook contacts for each attorney as appropriate. Maintain updated correspondence and pleadings files. Handle personally or oversee a records clerk as to filing, indexing, and creating sub-files. (this should be electronic for most part). Maintain a master list for each file and update the list as new files or matters are opened. Maintain a master physical file location list. Open files, close files and assist with conflicts checks. Provide support to the attorneys with timesheets and regular billing matters. Request reimbursement for attorneys through Chrome River and for client costs through Accounts Payable. Maintain a good working rapport with clients which requires discretion and judgment. Regular and predictable attendance is an essential function of the job. Must have 2 years of PQE. Should have strong knowledge of and ability to apply office software applications including Word, Excel, PowerPoint, Outlook and PDF. Working knowledge of legal practices, terminology, documents and court procedures is required. Working knowledge of the firm s litigation and transactional support tools is needed. Should have the ability to interact and communicate effectively in a business environment. Insurance Defense Legal Secretary - General Liability The candidate will handle general liability defense matters. Will perform a variety of legal secretarial and administrative duties for assigned attorneys, many of which are unique to a legal environment and require a working knowledge of legal concepts, terminology, and processes. Assist with general office support efforts and perform other duties as requested and assigned. Effectively and efficiently compose various legal documentation including pleadings, discovery, subpoenas, and draft correspondence. Review incoming mail to determine urgency and work with attorneys accordingly. Provide necessary telephone assistance including, answering callers routine questions. Maintain attorney calendar as well as maintain diary and tickler dates appropriately. Review calendar daily and handle upcoming events and determine dates upon which various pleadings must be served and filed. Input and maintain information into case management system and ensure data integrity. Schedule/coordinate depositions, medical examinations, and other court designated hearings. Retain court reporters and interpreters, if necessary. Act as a liaison with experts and witnesses in scheduling/coordinating appearances and/or depositions along with documentation retrieval. Act as a liaison between client and counsel by furnishing and requesting information Assist attorney in trial. The candidate should have high school diploma or its equivalent. Vocational secretarial training is desirable. Must have 4+ years of experience as a legal secretary. Experience in insurance defense litigation preferred. Workers' compensation experience would be a big plus. Superior interpersonal skills to communicate with court personnel, other attorneys and their staff, clients, witnesses and outside vendors are needed. Should be highly proficient in MS Word, MS Outlook, Excel, and PowerPoint. Must be highly proficient with the usage of a case management system and other software applications.
