Immigration Paralegal The candidate in the Immigration practice should be able to perform substantive litigation and immigration legal duties under the supervision and direction of the attorneys. Must bee Familiar with all types of immigration practices including employment based, individual and family based petitions and applications. Provide consult on immigration audits including pleading clips, recruitment, calendaring and familiarity with immigration forms. Organize and maintain files from the inception of the case through the completion. Assist with all aspects of case litigation, trial preparation including identifying and marking exhibits for motions, position papers, mediation depositions and trial. Interact with various government and court officials as well as with clients. Maintain attorney calendars with case deadlines. Provide support to the attorneys in the preparation and filing of petitions and applications with federal government agencies. The candidate must have experience with H-2A and H-2B case documentation and procedure for agriculture and other temp workers. Legal Secretary The candidate will leverage technology resources to ensure the group of attorneys is operating as efficiently and effectively as possible. Will identify most efficient and effective manner to complete tasks. Prepare documents by transcribing, formatting, inputting, editing, retrieving, copying, printing and transmitting text, data and graphics using office software applications. Knowledge and appreciation of the legal processes that facilitate the accurate preparation of client documents and responding to filing or closing deadlines. Prepare and coordinate e-filings, as well as filings in state courts if needed. Handle incoming and outgoing mail, faxes and scan documents. Ensure that documents are saved and filed into the appropriate workspaces/folders in FileSite. Maintain the daily calendar of each attorney including, but not limited to, scheduling appointments, meetings and travel arrangements. Maintain Outlook contacts for each attorney as appropriate. Maintain updated correspondence and pleadings files. Handle personally or oversee a records clerk as to filing, indexing, and creating sub-files. (this should be electronic for most part). Maintain a master list for each file and update the list as new files or matters are opened. Maintain a master physical file location list. Open files, close files and assist with conflicts checks. Provide support to the attorneys with timesheets and regular billing matters. Request reimbursement for attorneys through Chrome River and for client costs through Accounts Payable. Maintain a good working rapport with clients which requires discretion and judgment. Regular and predictable attendance is an essential function of the job. Must have 2 years of PQE. Accurately files court documents both electronically and in document form and able to determine and follow any local or judge specific requirements related to same. Receive, record and disseminate all information on behalf of the clients and assigned attorneys (e.g., mail, interoffice mail, email, etc.). Consistently provides friendly and helpful telephone support and/or receptionist relief. Regularly and accurately proofreads all documents to ensure accuracy and completeness prior to distribution or filing. Regularly anticipates the needs of assigned attorneys in order to promote timekeeper efficiencies (i.e., drafts correspondence, prepares shell pleading and discovery documents in advance). Routinely reviews and follows-up on client deadlines and calendar appointments. Coordinates and makes necessary arrangements for meetings (i.e., depositions, mediations, interviews, and vendor and facility reservations). Assists assigned attorneys with completing and tracking CLE compliance, presentations and training programs, other business development activities, and organizing all other non-billable activities. Accurately prepares and submits client intake forms. Follows the standard naming and profiling conventions when scanning, emailing, and saving documents to the document management system. Regularly and consistently updates client files, notebooks, and pleading indices. Maintains attorney specific case lists, charts, and status of cases and outcomes. Understands and accurately manages audit requests. Consistently updates all applicable contact records (including attorney s outlook and firm database). Timely reviews, follows-up on, and accurately files client-related emails. Properly prioritizes work assignments. Seeks appropriate assistance (from the office manager or attorneys) when conflicts arise. Consistently completes assigned tasks when expected.
