Legal Secretary The candidate will be engaged in the work of the attorney by demonstrating knowledge and status of current cases and projects and utilizing available resources. Provide support to three attorneys (possibly more) in Immigration and Employment law matters and backup support as needed. Answer phones and communicate with clients daily in a variety of international time zones. Act as liaison between internal departments and outside agencies. Preparation/revision of correspondence, pleadings, documents, and other clerical assignments as directed. Handle a wide variety of complex and confidential time-sensitive material. Run conflict checks and open new client engagements (N.B.I.) as requested. Maintain calendars, CLE, reports, and time records. Book and organize travel arrangements including flights, hotels, and transportation, and make changes to reservations as needed. Maintain docketing for litigation attorneys. Transcribe electronic dictation and schedule depositions. Various office and client filing; proofreading documents. Provide general office administrative support and backup oto ther legal secretaries during their absence(s) from the office. Resolve questions about client accounts created several times each week. Resolve questions about whether invoices have been sent several times each week. Confirm payment has been received so that applications can be filed with government authorities. Create physical files as required by the paper-based immigration filing system several times each week. Copy files required for filing several times each day. Verify all necessary documents and filing fee checks are signed in each necessary signature line. Receive, sort, scan, copy, and place in paper files multiple filing fee receipts received by US Postal Service each day. Confirm multiple courier deliveries to USCIS and add way bills to the correct client file. Receive and sort mail received from clients, utilizing immigration software to identify the appropriate recipient. Take inquiries from clients and potential clients, liaising with paralegals and attorneys regarding messages and actions needed. Manage offsite file storage, recalling boxes, and updating file database as necessary. Prepare filing fee checks. Create weekly case calendars with active, pending, filed, and on-hold client case status for each paralegal on the immigration team. The candidate should have a High School diploma or equivalent. Should preferably have a 4-year college degree. Should have 7+ years of recent legal secretarial experience within a law firm, 4+ years in the business immigration field, and the remaining experience should be within the labor and employment field. Typing by touch 65+ wpm. Law firm billing software is a plus. Expertise with Business Immigration, state, and federal rules and procedures. Must have a solid understanding of technical legal terminology as well as court filings. Experienced with Business Immigration document preparation as well as trial preparation and briefs. Punctual with excellent attendance. Must be proficient with generating Tables of Authorities. Must have strong verbal and written communication skills, as well as excellent proofreading skills. The ability to multi-task, and timely respond to deadlines as well as balance workload. Expertise with Microsoft Office Suite products, including Outlook, Word, Excel, and PowerPoint. Must have strong interpersonal skills and the ability to work well in a cooperative, small office environment and communicate with attorneys and support staff on every level.
