Criminal Defense Legal Secretary and Legal Assistant Duties: Handling a heavy document workload, including state and federal appeals, e-filing , federal ECF filing, composing TOAs and TOCs, formatting, editing, preparing and filing documents, some of which will be lengthy, detailed and complex. Assist attorneys with formatting, editing, preparing and filing state and federal appeals with voluminous exhibits, preparing correspondence, memoranda, subpoenas, discovery, pleadings and other legal documents from written and/or oral drafts and filing in the appropriate method required in a timely manner, and follow-ups as needed. Maintain case calendaring and deadline reminder systems; utilizing master calendar system, updating and monitoring attorney(s) calendars on an ongoing basis. Initiate opening of new files, preparing and filing retainer agreements and client payments, client and attorney time/billing entries, and editing of pre-bills. Accounts receivable/payable for vendors and independent contractor work utilizing Quickbooks. Assist and coordinate training of new hires on secretarial tasks. Effectively communicate billing and payment matters with clients and vendors, while keeping owner apprised. Maintain attorney CLE credits, conferences and seminars. Reading, sorting, dating and processing incoming mail. Coordinate large copy jobs, fax transmissions, inter-office routing of documents, and maintaining office supplies and equipment. Maintain kitchen, conference room, libraries, subscriptions and filing system, both in office and in storage. Answer phones, transferring calls properly and taking accurate and complete messages in accordance with office protocol. Qualifications: Prior significant criminal defense law firm legal secretarial experience required. Must have advanced level typing and computer skills. Ideal candidate will have meaningful criminal defense experience required, as well as experience with Word Processing, Word Perfect, Office 2010, Outlook, and Quickbooks, trial preparation, trial notebooks, subpoena preparation, and working with criminal defense investigators. Some office management experience, preferably in a law firm setting. Reliable, trustworthy and proactive, have the ability to communicate well, have a positive attitude and be a true team player. Interpersonal skills necessary in order to communicate in person, by telephone and email, and follow instruction effectively from other staff and provide information with ordinary courtesy and tact, with attention to detail, and a high degree of self-directed initiative and organization. Ability to multi-task with multiple assignments and complete in a timely fashion; calendar and identify deadlines appropriately. Proficiency in, and ability to use, standard office equipment, including multi-line telephones, personal computer and standard Microsoft Office applications, photocopy machine, fax machine, postage machine and scanner. Ability to read, write, proofread and perform editing (e.g., punctuation, grammar, spelling, California style of legal citation, proper formatting for a variety of legal documents).
