Legal Secretary/Office Coordinator Responsibilities: Perform a broad range of administrative, document production, organizational, research and client support duties. Extensive calendar management and scheduling of meetings, conference calls, travel arrangements and events. Serve as a primary point of contact and liaison with internal and external individuals. Work in partnership with the senior partner to assist in the execution of various functions and activities, and is the point person for staffing cases and triaging email and meeting requests. Coordinate with various firm administrative departments to efficiently complete client- and nonclient-related projects. Be the on-site representative for a variety of vendors including facilities and maintenance and catering. Oversee entry and coding of time. Reconcile monthly billing statements and track to budget. Prepare engagement letters, submit new clients and new matters to conflicts and new business intake. Set up and maintain firm active files and manage disposition of closed files. File and locate correspondence, pleadings and other documentation in an accurate and timely manner. Prepare and format documents in Word and PDF. Manage and track expense reimbursements. Ad hoc projects and duties as needed. Qualifications: Should have 5+ years of previous experience supporting multiple professionals, including ability to keep team members on track with processes, policies and deadlines in a fast-paced environment. A reliable, friendly and positive, can-do attitude is essential. Five or more years of litigation experience. Must be familiar with both state and federal court filings. Must have strong multitasking skills as well as the ability to prioritize activities and work under pressure to meet client deadline expectations in a fast-paced environment. A creative and independent thinker, but confident asking questions in order to complete tasks efficiently. Position involves extensive contact with others (including clients), requiring discretion, and must maintain a professional and courteous demeanor when dealing with others. The successful candidate will be someone with strong initiative who is self-motivated and interested in taking ownership of the work and loves working as part of a team and coordinating with other departments throughout the firm. Prior experience working with legal billing highly preferred. Strong Outlook, Word, Adobe Acrobat and Excel skills required. Experience with PowerPoint and legal billing software is also a plus.
