Legal Secretary - Community Associations/Real Estate The candidate will provide general clerical support to attorneys in the Community Associations and Real Estate practice groups. Proof and prepare documents, forms, spreadsheets, and presentations including litigation specific documents such as: pleadings for court/agency filings, services and client files, prepare and process Proof/Certificate of Service, create and maintain pleading binders, and data entry. File documents and communicate with court clerks and sheriffs office. Organize and maintain files including: litigation and client correspondence. Process intake of new clients, create client files, search, and print reports. Coordinate meetings including scheduling conference rooms, and conferences calls. Manage contacts and calendar. Process expense reports, check requests and business development activity; make travel arrangements as needed. Edit pre-bills, finalize bills and sent to clients. The candidate should have 3+ years of litigation experience in a law firm environment. Must have exposure to iManage or other document management system. Demonstrated proficiency in Microsoft Office, (including creating and/or updating table of contents, table of authorities, and defined terms), Outlook, Adobe Acrobat Pro and document management and time entry systems. Knowledge of court filings and the ability to eFile is required. Strong attention to detail and problem solving skills is a must. Professional interpersonal communication skills, both verbal and non-verbal are essential. Proactive with strong follow-up skills. Client service/customer satisfaction oriented.
