Legal Secretary/ Word Processor - Transactional The candidate will be responsible for areas like Corporate Finance & Securities, Mergers & Acquisitions, and Finance & Lending. Redline documents utilizing comparison software. Large volumes of documents anticipated. Utilize document management system for both electronic and paper file maintenance and organization. PowerPoint, Excel, ShareFile and some graphic skills essential. Analyze correspondence and save key documents and emails using a standardized naming convention. Daily secretarial support for two or more attorneys, including time entry, maintenance of schedules and calendars, organization of meetings and expense reports. Processing new clients, new matters and conflicts checks. Backup duties for other secretaries. Establish and maintain ongoing positive business relationship with clients, attorneys, paralegals and staff. Maintain contacts lists for large matters. Research information requested by attorneys and/or paralegals. Maintain complete confidentiality of client matters through demonstrated diplomacy and discretion. The candidate should have at least 3-5 years of experience in a hands-on legal support for two or more timekeepers required; transactional law experience preferred. Advanced word processing skills required and utilized daily. Strong drafting and proofreading of written materials and documents with attention to detail using professional and technical writing skills and grammar is essential. Demonstrated ability to comprehend details, multiple transactions and work at a fast pace with a high degree of accuracy. Solid time management skills; ability to execute within established processes and directions on a timely basis; solid prioritization skills and results driven orientation. Proficiency utilizing MS Suite of products. Regular data maintenance working with electronic databases and/or Excel spreadsheets; advanced proficiency with MS Excel preferred. Experience with electronic and paper file maintenance and organization using a document management system. Ability to interact on a regular basis, with the IT department. Ability to work an assigned mid-day schedule of 10:00 6:30 pm, including overtime as required.
