Legal Assistant/Paralegal Duties: File/submit documents electronically in state court, federal court, American Arbitration Association, and Florida Department of Financial Services Civil Remedy System. Prepare and analyze pleadings, motions, proposed orders, uniform trial orders, general correspondence, and other case-related documents. Prepare and manage all aspects of discovery, including requests, responses, document production, bates numbering, and organization. Prepare and coordinate trial subpoenas, third-party witness subpoenas, including out-of-state subpoenas, and confirmation of proper service. Prepare and coordinate all aspects of the trial, i.e., jury instructions, exhibit lists, and exhibit binders, coordinating witnesses. Manage the presuit process with first-party insurance claims, including prepare and file notices of claims, compliance with examinations under oath, document requests, property inspections, and proof of loss requests. Prepare and file civil remedy notices with the Florida Department of Financial Services. Prepare and submit requests to the Florida Department of Agriculture. Coordinate and schedule in-person and/or virtual hearings, arbitrations, trials, depositions, mediations, etc. Prepare and organize documents in advance of hearings, depositions, and meetings. Perform searches relating to Florida Statutes and Westlaw searches to pull case law. Perform various public and official records searches relating to corporations, licensees, property work permits, and properties. Communicate, coordinate, and manage experts, including forensic fieldwork. Communicate with potential clients, clients, opposing counsel, witnesses, court reporters, process servers, judicial assistants, and vendors. Maintain and manage the firm calendar, including case and court deadlines. Maintain various case/matter file status spreadsheets and charts. Dictation. Organize travel. Answer phones. Various other legal administrative duties as assigned. Qualifications: Paralegal Certification preferred. 7+ years experience in a heavy litigation environment. Proficient in Outlook, Word, Excel, and Adobe Pro. Proficient in Westlaw. Strong oral and written communication skills. Ability to prioritize. Excellent organizational and research skills. Comfortable in a high volume and fast-paced environment.
