Receptionist/Legal Secretary The candidate will be responsible for greeting clients, vendors and visitors, answering incoming calls, directing calls to appropriate employees, courier delivery coordination, maintenance of the reception area and conference rooms, as well as additional clerical duties as assigned. Provide overflow assistance to the office s legal secretarial team with tasks including preparing, editing, proofing, uploading and printing of legal documents, assisting with time and expense entries as needed and other needs throughout the office. Professionally greet clients, vendors and visitors of the firm. Operate the console by professionally answering incoming calls. Directing callers to appropriate persons and/or taking messages. Distribute incoming faxes using electronic faxing software. Coordinate and schedule conference room availability. Coordinate hand-courier deliveries. Daily coordination and set up of meetings. Maintain reception area and conference rooms. Assist clients, visitors and employees with conference room audio/visual and video equipment, if necessary. Ensures functioning telephones and video equipment, if required, are in all conference rooms, Ensure conference rooms are setup for meetings, maintained for use, stocked with necessary supplies, and the necessary actions are taken following meetings for additional use. Place catering orders for meetings. Submit work orders to building manager for building maintenance issues, HVAC issues, lighting, etc. Coordinate various aspects of suite security. Active coordination and collaboration with Office Services and Information Technology. Handle confidential documents and information with discretion. Complete copying, printing and assembly of documents as requested by attorneys and legal support staff. Handle client matters (when appropriate) through telephone and e-mail. Assist with time and expense entries as back-up to secretarial team. Maintains work calendars by scheduling appointments, conference calls and other meetings. The candidate should have a High School Diploma or Equivalent. Should be proficient in Microsoft Applications. Must have excellent communication skills and be able to work in a multi-tasked environment and be proficient in Microsoft Office. Law firm experience preferred.
