Paralegal/Legal Assistant Duties: Prepare error-free correspondence, memoranda and other legal documents from written and oral drafts. Draft standard correspondence and other documents required by or related to the litigation process. Attach appropriate enclosures for specialty areas without the need for supervision. Possess extensive working knowledge of Microsoft Word, Outlook and PowerPoint. Review completed documents thoroughly to check for errors in grammar, spelling, punctuation and formatting. Open, sort, date and scan incoming mail. Ensure that outgoing mail is timely delivered. If necessary, route mail to specific delivery service and follow up on timely delivery. Establish and maintain calendar and deadline reminder system. Ensure assigned attorneys calendars are up to date and that attorneys are reminded accordingly. Anticipate the needs of assigned attorneys. Open new files, prepare and collect information for conflict of interest checks. Maintain neat and organized client and general files. Conduct the bates-stamping, redaction, duplication and indexing of documents. Set up and maintain files which are organized chronologically, numerically and/or by subject matter. Work with document management vendors on electronic productions. Under the guidance of an attorney, categorize documents by subject matter, prepare a chronology of facts, summary of facts and create production charts. Establish, organize and maintain paper and electronic versions of case file materials. May receive clients and visitors. Maintain exceptional public relations with clients, potential clients and attorneys and staff from other firms and offices. Observe confidentiality of the attorney-client relationship. Make client and business-related appointments and reservations upon request. Coordinate attorney travel schedules. Have primary responsibility over maintenance of dockets for litigation and other matters for assigned attorneys, including developing and using procedures to ensure that attorneys are aware of and satisfy all filing and other deadlines. Work with attorneys in the preparation and filing of all court documents. Create, bind and distribute both file and courtesy copies. Organize briefs, exhibits and appendices, take ownership over litigation filing processes, including knowledge of and compliance with electronic and other filing requirements, maintenance of electronic litigation files, and keeping client contact up to date with file copies. Qualifications: 2+ years of experience working as a legal assistant or litigation paralegal in a law firm. General understanding of the federal and Minnesota state court rules, forms, processes, and procedures relating to discovery. General understanding of the electronic filing system in Minnesota and ability to learn and understand the electronic filing systems and other filing requirements of the states and other jurisdictions in which the assigned attorneys practice. Ability and desire to work in a fast-paced, busy law firm. Must be detail-oriented and capable of consistently producing error-free work product for assigned attorneys. Strong communication, organizational, and multi-tasking skills.
