Legal Secretary The candidate will be working with firm leadership, shareholders, and business colleagues on a variety of requests and projects. Duties:To draft, revise and finalize correspondence, memoranda and other legal documents as well as file legal documents in federal and state courts, including e-filing in all courts and agencies. Will also: prepare documents for service of process; prepare case shell documents for use by attorneys; verify all attachments, exhibits and enclosures are included with transmittal letters/memos; and proofread documents and check for appropriate formatting, spelling and grammar. Daily will: review all incoming mail, scan and distribute to teams as needed and upload to our DMS; prepare documents and packages for mail, courier and overnight delivery; prepare expense reports, manage vendor invoices, mailings, and request checks as needed; process client billing and assist with review and edit of bills as necessary; schedule appointments and make arrangements for meetings, conferences and travel; complete client/matter intake forms; request conflicts of interest checks; open new files and prepare files to be closed. Additionally, will: coordinate and follow through on requests and projects with other support departments (e.g., document services, receptionists, office services and marketing); provide back-up coverage assistance for secretarial team members on PTO and complete other duties and projects as assigned. Must have 8 years of current state and federal litigation secretarial experience (labour and employment experience is a plus); Should have recent experience at a large or mid-sized firm; superior proofreading skills, attention to detail and solid grammar/spelling skills; high degree of proficiency with Microsoft programs (Word, Outlook, Excel); Should have legal citation and legal terminology expertise; must have familiarity with Aderant, NetDocs, Chrome River, or similar technology. It is important that to have experience with and are able to organize, prioritize and meet the demands of multiple attorney assignments in a very busy practice.
