Legal Secretary DUTIES: Preparation and/or revision of letters, memoranda and legal documents using Microsoft Word and its features via digital dictation or other means. Manipulation of documents which includes the duplication, printing, mailing, location, formatting and/or merging of documents. Proofreading of all work for both accurate content and context. E-filing documents in both state and Federal courts when necessary Preparing and maintaining client and office files both in electronic and paper filing systems and proper use of firm document management system Input lawyers time into time entry system. Preparation and submission of new client and/or new matter forms. Make travel arrangements which include: transportation, automobile rentals, and hotel reservations with in-house travel agent. Preparing and submitting expense reports using Chrome River and performing electronic check requests for expenses and charitable contributions, when required. Communicating with clients and co-workers via phone or email. Scheduling and coordinating meetings and conferences with Conference Center Coordinator and EMS system. Managing attorneys calendars including docketing. Manage hard copy and electronic hyperlinked copy client files. Coordinate adjunct professors, law students and Law School plus update syllabus and educational materials for Bankruptcy Clinic.
REQUIREMENTS: High School Diploma or its equivalent required. Must have 5+ years legal and/or secretarial experience. Experience in Corporate Law, Bankruptcy and general litigation is preferred. Typing skills of 75+ w.p.m. Must possess strong organizational and communications skills, both verbal and written. Must be very detail oriented and able to multi-task. Strong document processing and project management skills. Proficient in advanced levels of Microsoft Outlook, Excel and Word and the use and application of Styles, Redlining, Adobe Pro and PDF Docs4. Must be able to operate the Firm software applications on an advanced level within a reasonable period of time, and possess excellent reading comprehension and proofreading skills. Outstanding written and verbal communications and able to professionally interact with clients, attorneys, and staff is required. Experience in working collaboratively and applying individual commitment to a group or team environment in the spirit of cooperation to successfully complete tasks efficiently and quickly. Experience with document management program iManage DeskSite preferred. Experience with efiling in both state and federal courts with Minnesota courts or similar mandated efiling vendor for state filings and CM/ECF for federal filings.
