Legal Secretary / Receptionist The candidate will be providing confidential and professional support functions to the attorneys and other staff to ensure the efficient operation and provision of services to clients, other professionals, and referral sources. Will perform support functions requiring a high level of confidentiality and a thorough knowledge of office policies and procedures. Maintain the confidentiality of communications, documents, and transactions. Assist attorneys and other staff in data/information entry, typing. proofreading, and producing Wills, Trusts, Powers of Attorney, entity formation documents, contracts, deeds, leases, agreements, litigation pleadings, motions and briefs, and other legal documents. Maintain schedules, set up designated areas for meetings, and prepare and assemble appropriate materials. Attend Will, Trust, and other documents signings; maintain a journal of the signings, identification of signers, and file law firm retained originals and copies. Provide continuous support to attorneys, including but not limited to, processing incoming and outgoing mail, scheduling appointments, composing, typing, and editing correspondences, documents, memoranda, and other materials received via hand-written copy, electronically, Dictaphone, Dragon Naturally Speaking, dictation or typed documents. Enter documents into document management system. Accurately enter and edit work descriptions and maintain time records. Prepare and proofread correspondence and filings and send same using one or more forms of delivery (e.g., in-person filing, certified mail, regular mail, email, fax, e-filing). Answer the telephone, take messages and/or refer caller to appropriate attorney or co-legal assistant for assistance or provide general non-legal information to callers. Deal with the public in a courteous and tactful manner. Greet, screen, and direct callers, prospects, clients, and visitors, and assist them through obtaining general information from them. Utilize proper telephone and personal etiquette. Obtain general information from prospective clients and complete contact forms to assist attorneys who will determine whether engagement is indicated. Maintain a database of all contacts with clients, prospects, and other professionals. Utilize a variety of computer programs; e.g., Word, Excel. Time Matters, Tabs3, in the preparation and maintenance of various documents, records, reports, and billing statements. Typing speed of at least 50 wpm with a high rate of accuracy required. Proficiency with English grammar and proof reading required. 4 year of experience required. High school or equivalent required. English required.
